Privacy and personal data

Data controller: جمعية داري قريش (Dari Quraish Owners Association), registration 2343705300. The portal uses the Dari Q brand. For personal-data requests or privacy complaints: hoa@dari-q.com.

You may request access or a copy, correction, erasure subject to applicable requirements, or withdrawal of consent where consent is the processing basis. Requests are reviewed before disclosure or erasure; submitting a privacy request does not itself change account access. We aim to act within 30 days; a permitted extension requires notice and reasons.

Do not include ID images or numbers, passwords or verification codes in this form or email. Describe the request and relevant records briefly. If you cannot sign in, email the HOA or submit your request in person; it will be recorded from its receipt date.

Current privacy notice

Dari Q resident privacy notice — version 4 October 2026 Controller and contact جمعية داري قريش (Dari Quraish Owners Association; English description), registration 2343705300, operating as Dari Q, As Salamah, Jeddah, Saudi Arabia, manages information submitted through this website and its installed web app. Privacy enquiries and requests: hoa@dari-q.com. Information and purposes Registration records names, email, mobile number, building/apartment, ownership or tenancy, applicable occupancy dates and other occupants. Applicants enter the required information, including ID/Iqama number and the applicable ownership-deed or Ejar contract reference. Identity, ownership or tenancy, actual residence and entitlement are verified using ID evidence, the owner’s deed, a tenant’s official Ejar contract and its dates, and National Address evidence for tenants and additional residents. Owners do not need to provide their own National Address certificate. In-person verification is the recommended initial registration choice. Applicants may instead select document upload for direct HOA review. For an in-person check: the property manager views the originals without taking or retaining copies, records verification of the entered information, and sends the request to HOA for final approval. Required information must be supplied to complete the application. Uploading documents does not grant access: HOA approval is required. This describes the HOA’s operational requirement; it is not a statement that a statutory requirement to retain these copies has been established. Owners and tenants may apply directly; an approved owner may also submit a tenant application. An approved account holder may request additions for people actually living in the apartment, subject to HOA approval. Information may therefore come from the account holder rather than each resident directly. Owners, whether resident or nonresident, do not need to provide their own National Address certificate. Applicants must be authorised to provide others’ information and should share this notice with them. Do not upload unrelated information. Bookings record reservations, transfers, fees, deposits, deductions and refunds. Reports contain descriptions and optional photos. Visitor registration records expected visits and vehicle details for reception; it does not itself prove arrival. Access depends on the approved apartment relationship and occupancy rules. Access and communications HOA administrators review applications, approve accounts and handle escalations. The property manager handles bookings, transfer verification, reports and the verification details needed for in-person applications. In-person confirmation does not activate an account; HOA gives final approval. Reception/security can view visitors and approved people’s names, buildings, apartments and residency relationships to check access, without ID copies, ownership deeds, National Address certificates or tenancy contracts. These staff roles do not grant general access to registration documents. Residents access records allowed by their account relationship; an owner can access the tenant application they submitted. Document review uses protected, watermarked pages with access checks and view logs; the review screen does not offer original-file downloading. Screenshots or photographs of displayed pages remain possible. Management exports and working copies must also be protected. Operational emails provide brief notices and portal links. Announcement emails are intended for approved owners, including owners of rented apartments, and approved tenants with active occupancy. A rented-apartment owner keeps their account, notifications and entry to visit their apartment only, without facility use or venue bookings. Tenant and household residency access expires with the contract. Optional push notifications require permission on each device; encrypted subscriptions and delivery records support them. Disabling push does not disable separate email. Notifications do not include document images or full report details. Providers and location GoDaddy Managed WordPress hosts the site in its confirmed Europe region, outside Saudi Arabia. Staff mailboxes use Microsoft 365 through GoDaddy, separately from the website’s outgoing-mail transport. Device push services may involve Apple, Google or Mozilla. GoDaddy content-delivery and website-metrics features are enabled. Exact hosting/backup countries, provider retention and some mail/transfer arrangements remain unconfirmed. We do not claim Saudi-only storage or a verified backup-deletion deadline. Retention and review Approved periods are subject to earlier disposal when the justified purpose ends and specific documented obligations/disputes: • Uploaded registration, household and renewal evidence: after approval and verification that the required information has been accurately recorded, eligible copies are removed from the current portal database. Missing references, pending requests, uncertain links and documented holds prevent removal until reviewed. Rejected/withdrawn copies are retained for 30 days from the recorded decision or withdrawal, then become eligible for removal. This replaces the previous 90-day attachment period and annual retention review for active ID copies. • Required structured information—including identity, deed and contract references—and minimal verification/removal history remain protected in the account record. Removing copies does not erase this information or cancel an account. Rejected/withdrawn application records, excluding their copies, retain their existing 90-day review period. Financial evidence outside registration/household/renewal proof is not removed by this process. • Visitors: 90 days after scheduled departure. • Minimal ownership/occupancy history: 3 years after verified departure/transfer. • Nonfinancial bookings: 12 months after booking/cancellation and final case closure, whichever is later. Reports: 12 months after final resolution; routine report photos: 90 days after resolution. • Minimal free-use allowance records: allowance year plus 12 months after year-end. • Necessary financial evidence: six full years after 31 December of the final-settlement year. • Routine security logs: 90 days. Minimal management audit events: 24 months. • Completed notification details: 90 days after final outcome. Inactive device metadata: 30 days. Failed/uncertain outcomes: review within 7 days. • Temporary exports/working copies: task completion, normally within 30 days; financial copies and justified exceptions follow their relevant schedule. • Minimal privacy-case records: 24 months after final closure. Completed-disposal evidence: 24 months after verified completion, extended while recoverable copies or a specific hold require it. Holds/extensions are reviewed every 90 days. Scheduled document removal is enabled for verified approved copies and rejected/withdrawn copies after 30 days. Existing approved copies without recorded verification require a separate review. Other retention schedules remain review-only. Backups, earlier downloads and exports are separate copies: removing evidence from the current portal does not erase those copies, and no exact provider backup-deletion deadline has been verified. Restoring a backup requires reconciliation against the removal ledger before document access is reopened. Your requests Contact hoa@dari-q.com for information, access/copies, correction or destruction, or withdrawal of consent where consent is the applicable basis. We verify the requester proportionately, protect others’ information and explain limitations. The procedure targets a response within 30 days; any permitted extension requires advance notice and reasons. Do not email private document copies unless a specific secure submission route is arranged. Updated notices will identify their version. Privacy-request tracking Open Privacy and personal data in the portal to submit and follow a request. Signed-in accounts can use this route even when tenancy services are restricted. People unable to sign in can contact hoa@dari-q.com or the HOA in person. The HOA records the original receipt date, verifies the requester and reviews each request; disclosure and erasure are not automatic. Do not enter ID numbers, document copies, passwords or verification codes in requests.
